A: Since MyOffice offers end-to-end solutions, the portal can be structured to replace existing 3rd party tools, eliminating their on-going cost. One MyOffice customer has documented savings of over $120,000 per year in hard costs that were previously spent to purchase various 3rd party services required in their business. That same customer also found that its field representatives collectively save over $300,000 per year in mailing and overnight costs. Of course, the amount a customer saves using a MyOffice portal will vary based on individual situations, but we are confident that every MyOffice customer will be able to document real cost savings. And that’s on top of the savings that will be realized through improvement in enterprise efficiencies. Users report that using a MyOffice portal can save up to an hour a day in administrative tasks that eat into a workday and erode time available to meet and work with customers.
A: All data stored on MyOffice servers is owned by the customer — period. The customer retains all rights to access, retrieve, or move that data from MyOffice servers at their discretion. All your data is segregated on the servers from all other customers’ data using state-of-the-art isolation and intrusion detection technologies.
A: MyOffice utilizes state-of-the-art, end-to-end best practices and procedures to make sure its applications and services are safe and secure.
Connections and transmissions to MyOffice and related data servers use Secure Socket Layer (SSL) encryption and authentication, the same procedures used by literally all financial services and web commerce companies in existence today. The SSL authentication protocols assure that both ends of the transmission are authorized to send or receive the data. The SSL 128 bit encryption protocols include a unique electronic key to lock the data at its starting point and unlock the data at its endpoint, plus a mechanism that detects any alteration in transit, assuring that the data arrives as sent.
Both the MyOffice application servers and the data storage servers reside at hardened, highly secure data centers owned and operated by Lightedge Solutions (www.Lightedge.com), a premier enterprise-grade hosted services provider that is owned by Anschutz Investments. The primary MyOffice server location is in Altoona, Iowa, but the data is backed up at similar Lightedge facilities around the country. The facilities are SSAE 16 compliant and feature redundant firewalls, state-of-the-art private network architecture, system redundancies and automatic, mirrored backup of data, and intrusion detection systems. They are highly monitored (24/7/365) and maintained by experienced, certified engineers.
Our processes and facilities comply with FINRA requirements for data storage and integrity.
A: MyOffice work portals are built on a proprietary software platform built on a proven set of features and functionality. The framework for your system is 90 percent complete. All you have to do is to add your own customization:
It’s important to remember that the MyOffice solution is an enterprise solution that connects and integrates a company’s entire operations through a paperless web portal structure. The process of making that solution a reality goes something like this:
We usually request that the customer form a small working group (representing all aspects of an organization) to work directly with our team, allowing for constant and focused communication and interaction in designing and building the solution.
Typically, it takes 3 to 6 months to get a solution to beta, depending on the unique characteristics of the identified deliverables. Beta can last anywhere from 2 weeks to 2 months. This implementation time frame compares very favorably to the 1 to 2 year time frames common with competing solutions.
A: To make sure a company’s business is conducted according to required or established procedures, business processes must be both transparent and auditable. By transparent, we mean that any process can be reviewed by supervisors, managers, and other interested parties (legal folks, etc.).
Any time a document or data is created, accessed, or altered in MyOffice, that action is identified and documented with a time/date stamp and the name of the person taking the action. This trail is then stored within an administration system to create a permanent, non-rewriteable, and non-erasable record of everyone who touched any bit of information moving through the system. This permanent record allows the business processes to be audited by either internal or external examiners.
